Office Manager – Part-time

Independent law firm, located in Via Manzoni Milan is seeking a bilingual (English/Italian) part-time Office Manager. This role entails various duties to fulfil, including general administration, welcoming clients, management of bank accounts and payments, invoicing support, journey planning and general overseeing of office matters. Candidates should be able to work independently, as the main point of contact for the office, ensuring the maintenance of a smooth-running, professional and welcoming environment and should possess a friendly demeanor to effectively engage with team members and visitors. We offer a varied role in a young and dynamic environment, working alongside a team of M&A, private equity, and corporate finance specialists.

Key Responsibilities:

– Maintaining a smooth-running, professional and welcoming environment- Welcoming visitors to the office- Addressing queries related to office management issues- Oversee office maintenance, repairs and upgrades, as well as stock of office supplies- Set-up meeting rooms and support the organization of catering when needed– Handling office mail and phone calls– Providing bookkeeping support for invoices and expense reports– Managing company bank account and payments– Coordinate and organize office activities, calendars and events- Support team members in scheduling meetings, interviews and transport

Requirements:

– Native English-speaker and fluent in Italian– Positive, resourceful and happy to be around people– Discretion and confidentiality– Ability to work independently and proactively solve problems– Keen on working on many tasks at the same time and prioritize them independently– Excellent communication skills (both written and oral) and the ability to develop very good relationships with internal and external stakeholders at all levels– Good knowledge of IT systems
